Tabs - Introduction

This tab has only two fields on it, both text boxes of effectively infinite length. The top one is for Site Comments and the bottom one for a large body of text such as the full text of the document.

Site Comments is for notes which are intended to be seen only by the team members on the local site. It is kept in the Site Database, as opposed to the Main Database which holds the primary information relating to the documents. Notes made in this field may stay on-site (and the other parties similarly have their own Site Comments).

There is a Site Comments lookup list (which works exactly like the Keywords list) and which has its own Query. The Site Comments field can hold a mixture of structured Site Comments dropped in from the list, or free-form text. You can update Site Comments globally i.e. add one or more Site Comments to all the Items in a Selection.

The Text field is intended for holding large volumes of data, perhaps the text which has been OCR'd from the documents. That can result in a big data file. Once it is OCR'd it is usually static and does not need to be recopied to other team members. It is therefore held in a separate database. There is a separate section on OCR Text.

Both the fields on this tab can, of course, be used for any purpose relevant to the Case, or can be ignored.

You can search for words and phrases within these fields by clicking in it in View (not Edit) mode and taking the <Find> menu option or pressing <Ctrl-F>. There is a Manual section on this Find Text facility.

There are functions to import and export text into and out of these boxes.

There is a Manual section called Moving Cases between Sites and Machines which explains how you can share the rest of your data with others without letting them see your Site Comments and without having to copy large amounts f text on each move.
