Option 2 - Treat every attachment as an Item in its own right but appearing ONLY as a child to other Items
Items are treated as separate documents, individually scanned and coded, given their own List number, and brought into play by means of setting an "Attachment" link to the Item they are attached to.
This method assumes that an Attached Item will (usually) inherit the 'In List' and 'Privileged' settings of its Parent.
This works only if any Item is attached only to one parent - if a draft agreement is faxed to two people, A and B, then each occurrence of the draft agreement (the copy faxed to A and the copy faxed to B) must be separately listed (and listed separately from each of the fax cover sheets, unless that is treated as part of the report in each case).
Scan and enter details of each attachment document as a separate document, which can be treated separately. |
Make sure that an Attachment link is setup for each Attachment Item, linking it to its parent (and vice versa) |
An Item's image does not include any separately scanned attachments. |
Each Item is separately coded so a search for an attachment should find it if the correct information has been entered. |
Do not code an Attachment Item as being In List. It appears in the printed List because its parent is in the List and because, when you save or print the List you opt to bring in the parent's Attachments whether or not they are marked 'In List'. |
Each Item will have its own List Number. The List Number sequence derives from an Item's position behind (i.e. below) a parent Item, not from its own date order position (although there are some variants allowing indented formatting and numbering). |
It follows that this approach does not work if any Item is attached to more than one other Item - a single Item cannot have more than one List Number. Compare Option 4 where Items can appear multiple times because each has a List Number derived from its date order place and appears with that number as often as necessary. |

How do I print a Report? |
|
Mark your disclosable parent Items as In List |
Not the Attachments - you do not want them as Items in their own right. NB Make sure any non-disclosable Attachments to disclosable Items are EITHER marked Privileged OR are not linked at all as Attachments |
Use Quick Query to find all those marked In List and select date Order. |

Save your selection as a Bundle. Ignore the options about Attachments in Bundles. Call this "Disclosure List without Attachments" |
This is your collection of all documents which are not child Attachments (children are pulled in later by their relationship as Attachments) |
Save your selection as a Bundle again. This time take the option <Include Attachments>. Call this "Disclosure List with Attachments" |

Take the option "Include all Attachments" |
This will include Attachments to Attachments |
Change the In List default to "Ignore the In List setting..." to bring in all Attachments to those Items which ARE marked In List i.e. those which comprise your Bundle. |

Make sure you opt to exclude Privileged documents. |
This is the default setting. |
This Bundle will include all Items marked In List plus all Attachments to Items marked In List |
Attachments will follow their parents irrespective of how they are set for 'In List'. |
Beware duplicates! If you are told there were duplicates, this means that one or more Items appear as an Attachment to more than one parent |
This option will not work since it requires (as the next step) that you give a unique List No to each Item. Consider Option 3 or Option 4 |
Highlight this Bundle (the "with Attachments" Bundle) and load it |
A message will tell you that it includes more Items than it had when saved (because it now includes the Attachments immediately after their parents) |

Every Item, including Attachments, now has a List Number |
The List Number for an Attachment will be the next sequential number following the List Number of the parent. |
As you want to print the Report with indented attachments, you repeat the process of pulling in the attachments, at the time of printing, but now they will have the List Numbers you have just set.
Load the first Bundle (the "without Attachments" Bundle) |

Print a Report and opt to include Attachments, as before |
Take <Report>. Select <List No> for your first column. Take <Attachments> button. |
Take the option "Include all Attachments" |
This will include Attachments to Attachments |
Make sure you opt to exclude Privileged documents. |
This is the default setting. |

Your Report shows parent or child-less Items as main entries and Attachments as indented sub-entries |

How do I print a bundle of Images? |
|
Create Bundle(s) and Set List Numbers as described above. Highlight the second Bundle (the "with Attachments" Bundle) referred to above. |
The order will follow the order of the report, with Attachments appearing after the parent |

How do I export my List as a new Case? |
|
Create Bundle(s) and Set List Numbers as described above. Highlight the second Bundle (the "with Attachments" Bundle) referred to above. |

Take <Set Bundle Numbers>. Take the option to set Bundle Numbers from the List Numbers. |
The numbering then matches that on the Item Cards. The Bundle Numbers will become the Item Numbers in the exported Case. |

Select your Case and your Bundle. |

Pick an export option |
Usually the default Disclosure option |
Name the new Case |
Tick the box to copy images if required |
Finish the export and check the result. |

Note the possibility of including as an Attachment an Item whose In List or Privileged setting is different from that of the Item to which it is attached. Warnings are given about this at various relevant stages.
