Handling Attachments - Option 1

Previous pageReturn to chapter overviewNext page

Option 1 - Include any attachments as an integral part of the Item

This approach is simple and straightforward:

Any image of an Item includes attachments for that Item.
Any decision on privilege, and as to whether the Item is in or out of the List, applies to the entire Item including the attachments.
The Item description can include a reference to the attachments (if desired - this may help with anticipated searches for the Item).
Documents which are attached to more than one Item are scanned and listed as part of each of the Items they are attached to.
A search for a sender or recipient of an attached Item will not find the Item unless the names have been entered somewhere as part of the information about the parent Item.

There is no need to use the Attachment options of Openlaw at all if you deal with attachments in this way, which is the simplest approach.

How do I print a Report?

Mark your disclosable Items as In List

Use Quick Query to find all those marked In List and select date Order

Save your selection as a Bundle

Ignore the options about Attachments in Bundles

Take Exclusive Use

You must be the only user

Set List Numbers for your Selection

Take <View> then <Selection> then <Allocate Numbers from a Selection> then <List Numbers>

Every Item now has a List Number

Print a Report

Take <Report>. Ignore <Attachments> button. Select <List No> for your first column

How do I print a bundle of Images?

Highlight the Bundle referred to above

Assign an Image Set to the Bundle

You must define the Image Set first

Press <Print Images>

See the Printing Images Check-List

How do I export my List as a new Case?

Create your Bundle as described above

Assign an Image Set if not already done

Take <Set Bundle Numbers>. Take the option to set Bundle Numbers from the List Numbers.

The numbering then matches that on the Item Cards. The Bundle Numbers will become the Item Numbers in the exported Case.

Run Openlaw Exporter

An Openlaw Add-On, free for making read-only Cases

Select your Case and your Bundle

Pick an export option

Usually the default Disclosure option

Name the new Case

Tick the box to copy images if required

Finish the export and check the result

There is no need to use the Attachment options of Openlaw at all e.g. when printing Reports, saving Bundles or printing images. You will not be offered such options if you have no Attachment links. If you have set up such links purely for reference purposes, you can ignore the options.
