The Components of a Case

The relevant components of a Case are:

 

The Case data in four files with names based on the Case name and with the extension .MDB
The executable with a name which matches the primary data file and the extension .EXE
The Licence file with a name which matches the primary data file and the extension .LIC
Case Setup.exe
Various report format files
Any Add-Ons for which you have acquired licences, usually in a sub-folder called \Add-Ons

What does a Case consist of?

The directory Demo for the Demo case will contain the following files:

Openlaw Demo.exe

The main executable file

Openlaw Demo.mdb

Holds primary information about documents

Openlaw Demo Site.mdb

Information peculiar to a location e.g. Bundles and Image Paths

Openlaw Demo Text.mdb

The text of the documents in the images

Openlaw Demo Site Reports.mdb

Additional Reports

Openlaw Demo.lic

The licence file

Several files with the extension .rpt

Report forms which will be in a sub-folder Reports (in two folders, arial and times which refer to the report fonts used)

Case Setup.exe

Verifies all files are current, allows defaults to be set and controls users

Openlaw3Help.chm

Context-sensitive Help file

Folder \Images

Default location for images

Folder \Text

Imported/Exported text and OCR text

Folder \Reports

Output from Additional Reports in a choice of formats

Folder \Add-Ons

Default location for additional Openlaw applications

Folder \Backups

Default location for menu-driven backups

Folder \LicenceBackups

Store for .lic files before they Verified

Folder \Logon

Store for user logon audit files

 

Any other Case will have a set of files which match these but with their own name substituted for "Openlaw Demo".

 

The picture also include two types of temporary file:

Files with the extension .ldb are database locking files. They are created when the Case is opened and govern, amongst other things, whether the user has Exclusive Use or not
Text files with names beginning User on exist for each user currently logged on. They show the data and time of the logon and the name of the user (in the case above Administrator). They are explained in a Manual section called Exclusive Use / Identifying Users.

 

There is a section called Moving Cases between Sites and Machines which explains how to use the Site database. It holds Image Sets, Bundles and other information which may differ between sites running copies of the same Case

The section called Additional Reports - Introduction explains how these are used and what the requirements are. Additional Reports may have been customised for you.

You may be supplied with sets of the Standard Reports in two fonts, in which case they will be in the sub-folders \Reports\Arial and \Reports\Times.  Do not muddle the reports as they have the same names.  Fresh copies can be downloaded from the website.

The Licence File identifies the firm or company who holds the licence and sets limits such as how many Items can be entered. It also holds various defaults which an Administrator may use to affect the Openlaw components which are available to all users. There is a separate section on how to Set Licence Options

A Case which has been scanned for you will have images (or other electronic files) of your documents on one or more CDs.

The sub-directory \Images to the Demo Case contains images 1.tif to 19.tif which match the Items in the Demo database. Items 20 to 25 in the Demo Case are Chronology Items i.e. events rather than documents, and therefore have no image files.
