Add a new Name freestyle

This is a quick way to add Names into the Case Names lists and to have them available in pick-lists immediately.

The Manual section Names - Introduction and the sections called from it explain the different ways in which Names can be added to an Openlaw Case to be available in pick-lists. The primary ways to do this are:

 

to add each component - the First and Last Names, Titles and Job Descriptions of an Individual, and the Organisation - via the Names menus and to create a Stored Namefrom them.

to type them into the Senders or Recipients field

and then to Parse the names - a process which builds Names entries automatically.

The sub-menu shown above is on the Control Panel Data Menu. A similar sub-menu appears on the Tab View Names menu.

The menus approach involves more than one stage, but brings certainty that the Names pick-lists will be accurate. An Administrator might pre-build a Names list to ensure that users have access to a conformed list before data entry begins.

Typing the Names straight into the Senders or Recipients box is quick and can be done there and then, whilst the user is looking at the Item and as part of the ordinary run of data entry. It brings with it the possibility that the user will add a near-variant of an existing Name and the possibility that Parsing will not be able correctly to interpret the Name. However, names can be corrected easily. It also requires that the Parsing process be run at a point when no other users are logged in.

The option to Add one or more Names to the Case ('Cast List') gets rid of the last of these objections. Parsing of any new Name entered by this means happens on the fly and the Names are immediately available for use. Take this option from either of the Names sub-menus:

 

The quickest way to enter names, if you know some of the Names that will be used for a Case, is to enter them freehand in this screen, and they will be parsed and added to the Names lists.

 

 

 

If you have the 'cast list' for the case you can type it in or cut and paste it to get started with the key names already entered.

 

This allows you to enter one or more names into the Names pick-lists by typing in the names in Openlaw format. They will be parsed immediately.

Type in the Name in the Openlaw format as shown above and press <Save>. The components of the Name will immediately be added to the Individuals, Organisations and Stored Names lists UNLESS they exist in their respective Names List already. All the points made in the Manual section Getting the Names right apply to Names entered by this means.
