Allocate Values to Categories etc
Allocate Values to Keywords etc
Settings - Setting List Numbers
Settings - Set User Order Numbers
Introduction
The Allocate Sub-Menu is found on the Data Menu on the Control Panel Menu..
The purpose is to allow you to set globally the value of Categories and other Yes/No fields, Keywords or Site Comments in the current Selection.
Exclusive Use is required to set these Values.
Warning: this global marking is only reversible globally by making the same Selection and setting the same fields to False. Even this may not restore the position as it was before you made the global markings unless you are absolutely certain that none of the relevant boxes was marked before you started this exercise.
The menus provide options which allow block updates to every Item in a Selection for various fields.
The sub-menu has the options shown below:

Taking each of these in turn:
Allocate Numbers

Sets of Numbers can be set or reset for every Item in a Selection.
See:
Allocate Categories/Keywords / Comments /Text Phrases

You can make update the values for many coding fields for every Item in a Selection. Items found by one set of criteria can therefore be coded en bloc to have other criteria (e.g. everything sent by or to John Smith is ipso facto to be marked In List = Yes.
See: Set Values Globally
Block Allocate of Name Links

A Name Link is a connection between an Item and a person beyond that of Sender and Recipient. Copied to: and Present at: are examples of Name Links. See the section on the Name Links Tab.
Name Links can be added en bloc, that is, a particular combination of Name Link Type (e.g. Copied to:) and a Name can be added to every Item in your current Selection.
